Admin Coordinator (Part-Time)
Organization: Memphis Islamic Center (MIC)

The Administrative Coordinator supports the day-to-day administrative operations of Memphis Islamic Center and serves as an important point of contact between MIC, its staff, community members, volunteers, and external inquiries. The position is responsible for managing MIC's general communications, ensuring inquiries are responded to or routed appropriately, supporting the Executive Director with administrative coordination and follow-up, maintaining selected organizational systems and records, and assisting with recurring community communications. The ideal candidate is organized, responsive, professional, comfortable working with technology, and able to manage multiple responsibilities while maintaining excellent communication and follow-through.

1. Community Inbox & Communications
• Monitor MIC's general info@ email inbox daily; review incoming emails and determine the appropriate response or routing.
• Respond directly to routine and straightforward inquiries; route specialized inquiries to the appropriate MIC staff member or department.
• Maintain a goal of ensuring incoming messages receive a response within 24 hours; track unresolved inquiries and follow up when necessary.
2. Phone & Voicemail Management
• Monitor incoming MIC voicemail messages daily; respond by text through Google Voice when appropriate, and return calls when an inquiry requires direct conversation.
• Resolve routine questions or connect callers with the appropriate staff member; utilize MIC's main phone system and autoattendant appropriately.
• Maintain professional, courteous communication when representing MIC.
3. Inquiry Routing & Community Service
• Serve as a central administrative point of contact for community inquiries; understand MIC departments, programs, staff responsibilities, and referral pathways.
• Route inquiries across areas such as: New Muslims and Da'wah, Manarah programs, educational programs, financial assistance/Zakat/Sadaqa, facility rentals, Janazah/funeral services, religious questions and affairs, youth programs, Executive Director matters, and general community inquiries.
• Keep staff contact and routing information current.
4. Executive Director Administrative Support
• Meet with the Executive Director on a recurring basis to coordinate administrative priorities.
• Prepare concise updates on recent accomplishments, outstanding items, risks or blockers, and active projects; review project timelines and upcoming deadlines.
• Document decisions, action items, responsible parties, and follow-up dates; help ensure agreed-upon tasks are completed.
• Assist the Executive Director with administrative projects and organizational initiatives as assigned.
5. Newsletter & Community Communications
• Coordinate preparation of MIC's recurring email newsletters; receive content from the Executive Director and other designated staff.
• Organize announcements, programs, reminders, community updates, and calls to action; build newsletters using MIC's established templates, adding appropriate links, buttons, and formatting.
• Proofread names, dates, links, and formatting before distribution; verify newsletter appearance across devices when applicable.
• Send or schedule communications according to established timelines; support both youth-focused and general MIC communications.
6. Administrative Organization & Follow-Up
• Maintain organized electronic files, administrative documentation, and recurring procedures; keep administrative SOPs and routing information up to date.
• Identify administrative processes that can be simplified or improved; establish reminders and follow-up systems for outstanding tasks.
• Assist with calendars, meetings, reports, correspondence, forms, and administrative projects as assigned; communicate deadlines and outstanding needs to the appropriate team members.
7. General MIC Support
• Provide administrative assistance for programs, events, facility activities, and special initiatives as needed; coordinate with MIC staff and volunteers across departments.
• Maintain confidentiality when handling sensitive community, financial, personnel, or organizational information.
• Represent MIC with professionalism, patience, respect, and excellent customer service; perform other administrative duties reasonably assigned by the Executive Director.

• Strong organizational and time-management skills, with strong attention to detail and follow-through.
• Associate Degree or higher is preferred.
• Excellent written and verbal communication, with professional and welcoming interpersonal skills.
• Ability to prioritize multiple requests and determine when matters should be escalated.
• Comfortable learning and using digital administrative platforms; experience with email management, Google Workspace, CRM/email marketing systems, or similar software preferred.
• Ability to work independently while collaborating effectively with MIC staff.
• Experience in nonprofit, mosque, community-center, school, or office administration is preferred.
• Familiarity with Muslim community organizations and basic Islamic terminology is strongly preferred.
• Ability to handle confidential information responsibly.
